RentPermit ("RentPermit," "we," "us," or "our") operates rentpermit.com and the RentPermit application (collectively, the "Service"). This Privacy Policy explains what information we collect, how we use it, who we share it with, and what rights you have regarding your data. By using the Service, you agree to the practices described in this policy.

Information We Collect

Information You Provide Directly

When you create an account, we collect your name, email address, and password. When you add a property to your account, we collect the property address, city, state, and any permit or license details you enter, including permit numbers, issue dates, and expiration dates. When you subscribe to a paid plan, your payment information is processed directly by Stripe. We do not store your full credit card number on our servers.

Information Collected Automatically

When you use the Service, we automatically collect certain technical information including your IP address, browser type and version, operating system, referring URLs, pages viewed, time spent on pages, and the date and time of each request. We use this information to operate, maintain, and improve the Service.

Cookies and Similar Technologies

We use cookies and similar tracking technologies to maintain your logged-in session, remember your preferences, and analyze how the Service is used. You can control cookie settings through your browser. Disabling cookies may prevent certain features of the Service from working correctly.

How We Use Your Information

We use the information we collect to provide and operate the Service, including sending you permit renewal reminders, compliance alerts, and other notifications you configure in your account. We use your email address to send transactional communications such as account confirmations, password resets, billing receipts, and product updates. We use aggregated, anonymized usage data to understand how the Service is used and to improve its features.

We do not use your personal information to serve you third-party advertising. We do not sell your personal information to third parties. We do not use the permit or property data you enter for any purpose other than providing the Service to you.

How We Share Your Information

We share your information with third-party service providers who assist us in operating the Service. These providers include Stripe for payment processing, Supabase for database hosting, Resend for transactional email delivery, and Railway for application hosting. Each of these providers is contractually required to use your information only for the purposes of providing services to us and to maintain appropriate security measures.

We may disclose your information if required to do so by law, court order, or government authority, or if we believe in good faith that disclosure is necessary to protect the rights, property, or safety of RentPermit, our users, or the public.

If RentPermit is acquired by or merged with another company, your information may be transferred to the acquiring entity. We will notify you via email or a prominent notice on the Service before your information is transferred and becomes subject to a different privacy policy.

Data Retention

We retain your account information and property data for as long as your account is active. If you cancel your account, we will delete your personal information within 90 days of cancellation, except where we are required to retain it for legal, tax, or accounting purposes. Anonymized, aggregated data derived from your usage may be retained indefinitely.

Data Security

We implement industry-standard security measures including encryption in transit (TLS), encryption at rest, and access controls that limit which of our personnel can access your data. No method of transmission or storage is completely secure. We cannot guarantee the absolute security of your information, but we take reasonable steps to protect it against unauthorized access, disclosure, alteration, or destruction.

Your Rights and Choices

You may access and update your account information at any time by logging into your account settings. You may delete your account by contacting us at privacy@rentpermit.com. Upon deletion, we will remove your personal information from our active systems within 90 days.

You may opt out of non-transactional email communications by clicking the unsubscribe link in any marketing email we send. You cannot opt out of transactional emails related to your account or subscription, such as billing receipts and permit renewal reminders, as these are core to the Service.

If you are located in the European Economic Area, United Kingdom, or California, you may have additional rights regarding your personal data, including the right to access, correct, delete, or restrict processing of your data. To exercise these rights, contact us at privacy@rentpermit.com.

Children's Privacy

The Service is not directed to children under the age of 13. We do not knowingly collect personal information from children under 13. If you believe we have inadvertently collected such information, please contact us immediately at privacy@rentpermit.com and we will take steps to delete it.

We may update this Privacy Policy from time to time. When we make material changes, we will notify you by email and by updating the "Last updated" date at the top of this page. Your continued use of the Service after the effective date of any changes constitutes your acceptance of the updated policy.
